Who we are

What we collect

When you request an estimate, we collect your name, company, email address, company sector and size, and project description. Your role, phone number and services of interest are optional.

We also record the page address you submitted from, including any campaign or referral details, and the submission time. We keep a record of the acknowledgement you accepted, its wording and version, and the privacy policy version, together with the form language and technical submission details.

We do not use cookies or analytics scripts to track visitors. Cloudflare hosts and protects this site and processes technical request data, including logs. We use your IP address to limit repeated form submissions and prevent abuse. We do not add it to the enquiry email or its attached record. We do not maintain a separate database of form submissions.

Why, and on what basis

We use your details to respond to your request, prepare an initial estimate and follow up about your project.

If you contact us on your own behalf, this is based on steps taken at your request before a possible contract (Article 6(1)(b) GDPR). If you act on behalf of a company, we rely on our legitimate interest in responding to business enquiries (Article 6(1)(f) GDPR).

We also process technical request data for our legitimate interest in keeping the site secure and preventing abuse (Article 6(1)(f) GDPR). We do not use your details for newsletters or advertising.

Where the data goes

Your request is processed by Cloudflare, our hosting provider, and sent to ZeeSpire’s employees through Resend. Our incoming email is routed through Cloudflare and stored in Gmail. We also send you a confirmation email.

The providers involved may also store message content and technical delivery data as part of their services.

Resend stores email data in the United States. Cloudflare and Google may also process data outside the European Economic Area. Their published terms describe the transfer mechanisms they use, including the EU–U.S. Data Privacy Framework and the European Commission’s Standard Contractual Clauses, where applicable. How long we keep it

If your enquiry does not lead to a contract, we keep your request and related correspondence in Gmail for 12 months after our last contact. You can ask for earlier deletion by emailing office@zeespire.com.

If a contract follows, we keep the relevant records for as long as needed to provide our services and meet applicable legal obligations. Technical logs and backup copies held by our providers may have different retention periods.

Your rights

Where the GDPR conditions apply, you can request access to your personal data, correction, deletion, restriction of processing or data portability. You can also object to processing based on our legitimate interests for reasons relating to your situation. Email office@zeespire.com to exercise these rights.

We respond without undue delay, normally within one month of receiving your request. If we need extra time because requests are complex or numerous, we may extend this deadline by up to two months. We will explain any extension before the initial month ends.

You can also lodge a complaint with ANSPDCP, Romania’s data protection authority, or another competent supervisory authority, including in the EEA country where you live or work, or where the alleged infringement occurred.
